FAQ

This page collects the most common questions about Amsterdam Tea Festival.

You will find information about tickets, opening times, workshops, exhibitor applications, accessibility and practical visitor information.

No, the workshop deposit does not increase based on the registration wave.

The deposit for workshop hosts is €100 including VAT. This amount stays the same whether you register early, later, or during a different vendor wave.

The deposit is also the same regardless of the size of the workshop slot, whether the workshop is planned for a smaller or larger group.
The main thing to keep in mind is availability. We only have around 40 workshop spots, and they can fill up quite quickly. Workshop slots are confirmed based on acceptance by our team and payment of the deposit.

This means that the first accepted workshop hosts who pay the deposit are the ones who secure the available slots.

If your business is based in the EU, but you do not have an intra-community VAT number, we recommend speaking with your accountant or local tax authority before the festival.

In some cases, businesses need an intra-community VAT number to sell products, issue invoices, or operate commercially outside their own country within the EU. This depends on your country, business structure, VAT status, and local tax regulations.

Because Amsterdam Tea Festival takes place in the Netherlands, and because you may be selling products outside your home country, it is important to check whether your current tax registration allows you to do this correctly.

If you do not yet have an intra-community VAT number, your accountant or local tax authority can advise whether you need one and, if needed, how to request or activate it.

You can also check the official VIES website from the European Commission for more information about VAT number validation and cross-border EU VAT registration. VIES is the system used to check whether a business is registered to trade cross-border within the EU.

Please note that each vendor is responsible for checking their own tax, VAT, and sales obligations before participating in the festival.

After you submit the form, we continue with the following steps:

1. We review your application and check that all details are complete.
2. If we do not have any further questions, we issue your invoice.
3. Once the invoice is paid, your participation is officially confirmed.
4. After confirmation, you can choose your preferred stand (if you are a vendor) or workshop table size (if you are hosting a workshop) by looking at the venue plan in our presentation.
5. You can then upload your logo, photos, and brand information, so we can start preparing your announcement on our website and social media channels.

If you are based outside the EU and do not have a European VAT number, you can enter your local company tax identification number instead.

For example:

An Indian business can enter its GSTIN, Goods and Services Tax Identification Number.

A US business can enter its EIN or other relevant business tax identification number.

A UK business can enter its UK VAT number, if applicable, or another official company registration or tax number.

We manually review every application and invoice before issuing it, so we will make sure the information is handled correctly.

No, workshop income depends on ticket sales, so we cannot guarantee a fixed amount in advance.

However, the workshop will be included in the festival program and promoted as part of the festival communication.

Yes, non-EU businesses can still register for Amsterdam Tea Festival.

The VAT number field is mainly intended for businesses established in the European Union. EU companies that are registered for VAT usually receive a VAT identification number, which can be verified through the European Commission’s VIES system. This is used for cross-border business transactions within the EU.

If your business is based outside the EU, this usually does not apply to you.

Food vendors will have access to the kitchen at the venue. There they can prepare some items. Please note that the kitchen is not fully equipped; it only includes an oven, a sink, and a work desk. Vendors will need to bring any additional equipment or tools they require.

No, the deposit is not an extra hidden cost.

The deposit is paid in advance to reserve your workshop slot, table setup, program place, and ticketing preparation. It helps us secure the space for you, because once a workshop slot is reserved, we cannot offer that same time and table to another host.

After the festival, the deposit is taken into account when we calculate your final workshop payout.

There are two different formats vendors can consider.

1. Workshop format

This is a private session where visitors buy a separate ticket to attend. The host earns from workshop ticket sales.
Workshops can usually be hosted for either 12 people or 24 people, depending on the workshop table and setup chosen. This format works well for guided tastings, educational sessions, ceremonies, brewing demonstrations, or more intimate tea experiences.

2. Panel talk or speaker format

This is a more open talk format for festival visitors who are passionate about tea and want to listen, learn, and join the discussion.
Last year, for example, we had conversations around tea business and tea culture, with different people invited to share their perspective.

This year, we are still deciding the exact subjects and structure.
The talks are included for festival visitors, and the talk area will have around 130 seats.

Yes, hot water will be available for exhibitors during the festival.

The water provided by the festival will be at 100°C. Vendors will be able to collect hot water and bring it back to their tables, so we recommend bringing a 3L or 5L thermos to store water during the day.

If you need to work with a specific water temperature for your tea preparation, we recommend booking electricity for your stand and bringing your own kettle, so you can control the temperature directly at your table.
